Know Which Routes Are Paying Their Way.

A transport company earns its money one run at a time and spends it on drivers, vehicles, fuel, insurance and security. We put a cost on every run and tie every delivery to an invoice, so you can see what has been billed and what is still owed.

Cannabis Transporter Accounting For Michigan Operators

Secure transport sits in the middle of the cannabis supply chain. You move product between growers, processors, testing labs and retailers, and you get paid by the operators you serve, which makes your books look more like a logistics company's than a dispensary's.

That is how we keep them. Our monthly bookkeeping for transport companies runs in QuickBooks Online, with cost tracked by vehicle and by route and every manifest tied to billing.

Transport is a service business that happens to carry cannabis, and we know both halves of that sentence. Members of our team completed a Cannabis Associate Program and a Cannabis Specialist Program and hold both certificates, our daily processes follow the DOPE CFO method for cannabis businesses, and each partner is a QuickBooks Online ProAdvisor.

The Costs That Ride Along On Every Delivery

Transport margins are made or lost in details nobody sees from the loading dock.

Runs Priced Without A Real Cost

Fuel, driver time, vehicle wear, insurance and security all go into a run. Without a cost per run, a long route and a short one can end up priced alike, and the long one quietly loses money every week.

Manifests That Never Become Invoices

Every trip leaves a manifest behind. When manifests and billing live in separate places, a delivery can go unbilled, get billed twice or get billed wrong, and nobody notices until a customer disputes it.

Driver Hours That Outrun The Schedule

Waiting time at pickup, long drives and last-minute schedule changes push hours up fast. Payroll that is never tied to routes hides which runs are carrying the overtime.

Slow Payers Among The Operators You Serve

Your customers are other cannabis businesses, and some pay slower than others. Without an aging report each month, a few slow accounts can tie up the cash you need for fuel, insurance and payroll.

Long Miles Between Michigan Operators

Michigan is a big state to drive, and cannabis operators are spread from the Upper Peninsula to the southern border. A January run out of northern Michigan does not cost what a short hop downstate costs in July, and your pricing should know the difference.

We keep the books for transporters across the state, and virtually beyond it, by phone, video and secure file exchange. When you are weighing another vehicle or a new route, cash flow forecasting and fractional CFO services show whether the business can carry it. Transport rounds out the cannabis work among our industry specialties.

From Manifest To Paid Invoice, Month After Month

The routine is the same each month, so you always know what a run costs and who still owes you for one.

1

We Cost Your Fleet

Depreciation, loan interest, fuel, maintenance, insurance and security equipment are tracked by vehicle in a chart of accounts set up for transport, so cost per run comes from real figures.

2

We Tie Manifests To Billing

Completed manifests are matched to invoices. Anything delivered but not billed, or billed but not delivered, is flagged for you before the month closes.

3

We Run Driver Payroll

Weekly or bi-weekly payroll for drivers and crew runs in Gusto, ADP or QuickBooks Payroll, coded to routes so labor cost shows up where it was spent.

4

We Report Receivables And Close The Month

You get an aging report showing which operators owe what and for how long, alongside statements we walk through with you once the month is closed.

What Transport Owners Ask About Their Numbers

Can you work out what each run actually costs us?

Yes, once costs are tracked by vehicle and runs are recorded consistently. We build cost per run from fuel, driver time, vehicle cost, insurance and security, then set it beside what you billed for that run. That comparison is where repricing conversations start.

Do you handle invoicing to the operators we deliver for?

We can. On our Back Office package we prepare invoices and accounts receivable reports for you, working straight from completed manifests. If your team prefers to keep invoicing in-house, we reconcile what was billed against what was delivered every month instead.

How are vehicle purchases handled in the books?

Vehicles are recorded as fixed assets and depreciated, with any loan set up separately so each payment is split between principal and interest. Before you buy, we can run the numbers with you so the timing works for both cash flow and your tax return.
