1099 Preparation And Filing For Michigan Businesses
Most 1099 trouble starts long before January. A contractor you paid all year has moved, changed their business name or never sent a W-9, and now you need their taxpayer ID in the same week the forms are due. Penalties for late or missing 1099s are charged per form, so a few missed contractors add up quickly.
We treat it as a year-round habit instead of a January project. Contractor payments are tracked in your QuickBooks Online file as they happen, W-9s are collected before the year closes, and the forms are prepared, sent to your contractors and e-filed. It is part of our payroll services for businesses across Michigan and anywhere we work virtually, and 1099s are included in every monthly package.
Your employees are covered by our weekly and bi-weekly payroll processing, and the contractor records we keep here also answer the question every workers' comp audit asks: who did you pay outside payroll?
How The Year Builds Up To January 31
The work is spread across twelve months, so none of it lands in the last week of January.
A W-9 Before The First Payment
When you bring on a contractor, we make sure a W-9 is on file with their legal name, tax classification and taxpayer ID. Asking before you pay them is far easier than asking after.
Payments Coded As They Post
Contractor payments are coded to the right vendor and account through the year, so the totals are ready and nobody is reading a year of bank statements in January.
A December Check
Before the year closes, we look for missing W-9s, changed addresses and payments that belong on a different form, and chase the gaps while people are still answering email.
Forms Filed On Time
1099-NEC copies reach your contractors and the IRS by January 31. We e-file as standard, and when paper filing applies we prepare the Form 1096 transmittal that goes with the forms.
NEC Or MISC, In Plain Words
The two forms look alike but report different kinds of payments. Here is the short version.
The Ten-Form E-File Rule
Once a business files ten or more information returns in a year, counting W-2s and 1099s together, the IRS requires them to be filed electronically. A small employer with a handful of staff and a few contractors can cross that line without noticing. We e-file as standard, so the rule never becomes your problem.
What Owners Ask About Contractor 1099s
Is the 1099-MISC due the same day as the 1099-NEC?
Not always. The 1099-NEC is due to your contractors and the IRS by January 31. Recipient copies of the 1099-MISC generally go out by the same date, but the IRS filing deadline for the MISC comes later, and later still when you file electronically. We keep both calendars so you do not have to.
What if a contractor never sends a W-9?
Keep asking, in writing. If a contractor still will not provide a taxpayer ID, backup withholding can apply to what you pay them next, and we will walk you through what that means before the next payment goes out. The best fix is a W-9 before the first check, which is why we ask up front.
Can you file our 1099s if someone else keeps the books?
Yes. We take the contractor totals from your books, check them against the W-9s on file and prepare the forms. It goes faster when payments were coded to contractors through the year. If they were not, we sort that out first, so the forms match what you actually paid.
