Clean Books On A Rhythm That Fits Your Year.
For lower-volume and seasonal businesses, a full close every three months keeps the records reconciled and the tax picture current, without committing to a monthly cadence the business has not grown into yet.
Quarterly Bookkeeping For Michigan Businesses
Not every business produces enough activity to need a close every month. A shop that runs hard from June through October, a service company with a modest stack of transactions, an owner-operator whose books are simple but still have to be right: for these owners, a quarterly close keeps the records clean without a rhythm the business does not need yet.
Quarterly bookkeeping is part of our bookkeeping services for businesses across Michigan and virtually nationwide. It uses the same reconciliation discipline as our monthly bookkeeping, run in QuickBooks Online on a three-month cycle.
Made For Seasonal And Lower-Volume Businesses
Quarterly fits best when transaction volume is modest and decisions do not hinge on last month's margin. Seasonal Michigan businesses often land here, along with newer companies still finding their footing.
It is not a permanent box. Many clients move to monthly as volume grows, staff get added or a lender starts asking for statements more often. When that point comes, we will tell you, and the switch is simple because the file is already clean.
Everything We Close Out Each Quarter
Three months of activity brought current and reconciled, with a set of statements at the end of it.
- Three months of bank and card transactions coded in QuickBooks Online
- Every bank, credit card and loan account reconciled to its statement
- Accounts payable and accounts receivable reviewed
- New equipment recorded, with depreciation
- Adjusting entries made and the quarter formally closed
- Profit and loss and balance sheet for the quarter and year to date
- Year-to-date figures ready for estimated tax planning
- A short call to walk through what the quarter showed
A Quarterly Close Keeps Pace With The Tax Calendar
Businesses with employees generally file Form 941 every quarter, and federal estimated taxes are paid in four installments through the year. A quarterly close puts reconciled year-to-date numbers in front of you on that same rhythm, so quarterly estimated tax payments are figured from what actually happened this year rather than from last year's return.
Deciding Whether Quarterly Is Enough
How do I know if quarterly bookkeeping is enough for my business?
Look at volume and how you make decisions. With a modest number of transactions, little or no inventory and nobody asking for monthly statements, quarterly usually holds up well. If you carry significant stock, run weekly payroll or lean on last month's margin to make decisions, monthly is the better fit. We will give you a straight recommendation in the first conversation.
Is a quarterly close less accurate than a monthly one?
No. The reconciliations are the same, the review is the same and the quarter is closed the same way. What changes is timing. You see the numbers every three months instead of every month, so a problem can sit a little longer before it surfaces. That trade-off is the whole decision.
Can you prepare my tax return from the quarterly books?
Yes. The bookkeeping and the return can sit in the same engagement letter, and a year of closed quarters makes year-end short. We prepare business returns and Schedule C returns for sole proprietors straight from the closed file, so nothing gets rebuilt in the spring.
What do you need from me each quarter?
Access to your bank and card feeds in QuickBooks Online, any statements that do not come through the connection, and answers to a short list of questions about transactions we could not identify. Most quarters, that is all. If something unusual happened, like a new loan or an equipment purchase, a quick note saves everyone time.
